You just wrapped a discovery call. Now you need to send a proposal. Once the client accepts, you'll generate a contract, set up a project, track hours, send an invoice, and chase payment. Each of those steps probably lives in a different app.

For freelancers and small agencies, this fragmentation is the silent tax on every engagement. It costs time, creates gaps, and chips away at the professional experience you're trying to deliver.

Bonsai was built to solve this problem. It's an all-in-one platform for independent professionals: designers, consultants, developers, marketers, and agencies who deliver expert work and deserve tools that match how they actually operate.

Ask any freelancer to map out their tools and you'll get the same list: a proposal app, a contract generator, a project management tool, a time tracker, an invoicing platform, and a spreadsheet holding the rest together with duct tape.

Each tool works fine on its own. The problem is the space in between.

For every handoff, there's a risk that context gets lost, a follow-up slips, or a client feels the friction. When someone has to log into three different portals to sign a contract, review a deliverable, and pay an invoice, that signals your operation is stitched together.

Then there's the cognitive overhead. You update a project status here and a client status there. Manually. Every time. That's not a workflow. That's a maintenance job.

"We went from 4 hours to 15 minutes to send beautiful proposals. It takes us 0 minutes to send nicely designed invoices with auto-invoicing." – Taylor Feero, Owner of Switchboard.MN Agency

The result: billable hours eaten by admin, inconsistent client communications, and a business that gets harder to scale because every new engagement adds complexity instead of rhythm.

Bonsai consolidates every stage of the client lifecycle into one connected workspace. A signed proposal feeds into a contract. Tracked hours flow into an invoice. Zoom meeting notes land directly in the right client record*. Nothing lives in a silo.

Here's what that covers:

CRM. Track leads and active clients in one dashboard. Intake forms qualify prospects upfront. Scheduling links let clients book calls directly, including Zoom meetings that sync back to their record.
Proposals. Send branded, customizable proposals in minutes. When a client accepts, their details carry forward into the contract automatically.
Contracts. Generate e-signable contracts from accepted proposals. Everything is pre-populated with the client and project details already in Bonsai.
Project management. Kanban, list, or Gantt view. Set dependencies, assign tasks, and keep timelines visible to your team and your client through the portal.
Time tracking. Log billable hours per task with a one-click timer. Those hours pull directly into invoices. No manual entry.
Invoicing & payments. One-time or recurring invoices. Attach logged time and expenses. Collect via Stripe or PayPal. Automated reminders handle late follow-ups so you don't have to.
Client portal. A branded space where clients view proposals, sign contracts, track progress, and pay invoices. All under your brand.
Zoom integration. Call summaries and follow-up tasks land in the client record automatically. Open any client and you see the full picture: the signed proposal, project status, outstanding invoice, and the last few calls you had. That continuity is what separates reactive service from genuinely attentive work.

Freelance designers and developers move a lead from intake form to paid invoice without switching apps. The client portal gives clients a clean view of the engagement at every stage, which builds trust and cuts down "what's the status?" emails.

Consultants who bill by retainer get recurring invoices automatically, payment reminders without awkward follow-ups, and real-time tracking against each client's budget. When a project wraps, reporting shows exactly what was delivered and what the margin looked like.

Small agencies keep everyone aligned, from project managers assigning tasks to account leads reviewing utilization and profitability. Centralized records mean nobody digs through email threads to find the latest brief.

"In our project board, we have full visibility of steps from client onboarding all the way through to billing. We can track every client project without missing any steps." Jillian McTigue, Founder of MASON Collective

A lot of tools call themselves "all-in-one." What makes Bonsai different comes down to four things:

The platform connects your workflows end-to-end. Accepted proposals auto-populate contracts. Logged hours auto-populate invoices. Signed agreements unlock portal access. The platform follows your workflow, not the other way around.

It makes you look bigger than you are. Branded proposals, contracts, and client portals project agency-level polish, even if you're a team of one.

Admin becomes highly automated, not delegated. Payment reminders, recurring invoices, intake forms that qualify prospects before you get on a call. For people without support staff, this is the difference between spending Sunday on admin and actually having a weekend.

It grows with you. Solo freelancer or team of 30, Bonsai scales. Resource planning, profitability reporting, team workload management: the tool you start with is the one you keep.

For freelancers and small businesses, time is the inventory. Every hour spent shuffling between tools or chasing a late payment is an hour that wasn't spent on billable work.

Bonsai gives that time back. Your clients get a smoother experience. Your team stays aligned. Your finances become something you can actually see clearly.

And getting started takes minutes. Bonsai's templates and onboarding flows mean you're sending your first proposal the same day you sign up.
