How to use Zoom and Claude to run your small business

Your AI assistant just got a lot more useful

If you're a consultant, coach, freelancer, or small business owner, you already know the pattern: you have a great client call, hang up, and then spend the next hour re-entering everything you just said out loud. Notes go into one app. The CRM gets updated (eventually). The proposal gets cobbled together from memory. The invoice comes... whenever you get around to it.

What if Claude could help manage all of that for you — right from the same window where you're already working?

With the Zoom Model Context Protocol (MCP) connector and the Bonsai MCP connector, that workflow becomes possible. Zoom and Bonsai can connect directly to Claude, so your meetings, notes, client records, proposals, and invoices are accessible within your Claude workflow — reducing the need to switch between tools and re-enter information manually.

Zoom is a full business platform — and now it can connect with Claude

You probably know Zoom as the place where you hop on a call. But there's a lot more under the hood — and it's designed for people who run client-facing businesses:

  • My Notes — AI-powered meeting notes that can automatically capture decisions, action items, and key takeaways from your calls. No third-party bot needed. No extra subscription. Built right into Zoom.
  • Bonsai — A client management platform designed for client-facing professionals such as consultants and coaches. Proposals, contracts, invoicing, and payments — supporting the full lifecycle of a client engagement.
  • Zoom Scheduler — Scheduling tools that make it easy for clients to book time with you directly

Instead of asking you to learn a new interface, Zoom took a different approach: make Zoom workflows available in Claude. If Claude is where you already brainstorm, plan, and get work done, your meetings, notes, proposals, and invoices should be accessible there too.

Two connectors make it possible:

Zoom MCP connector Bonsai MCP connector
  • Schedule Zoom Meetings
  • Retrieve My Notes summaries
  • Search past meeting conversations
  • Pull transcripts and recordings
  • Update your CRM
  • Set up proposals
  • Generate invoices
  • Create projects and tasks
  • Log hours against projects

Together, they support the key stages of a client engagement — from booking the first call to collecting payment — without you ever leaving Claude.

How it works: one client engagement, start to finish

Here's what a typical client workflow looks like when Zoom and Bonsai are connected to Claude. One client, six steps, zero app switching.

1. Schedule the meeting

A new lead comes in. Instead of switching to your calendar, you tell Claude:

"Schedule a 60-minute discovery call with Sarah for Thursday at 2 p.m. and send her a Zoom invite."

Claude uses the Zoom connector to create the meeting. The calendar invite goes out. Done.

2. My Notes captures what matters

During the meeting, My Notes can run automatically in the background. You don't need to hit record, open a separate app, or remember to take notes. It is designed to capture the full conversation — decisions, action items, key moments — without manual note-taking.

My Notes is native to Zoom and available on eligible paid Zoom Workplace plans.

3. Review your call takeaways in Claude

After the call, ask:

"Pull the summary and key takeaways from my meeting with Sarah earlier today."

Claude can retrieve a summary of key discussion points through the Zoom connector — what you discussed, what you promised, and what needs to happen next. Without you skimming the transcript or checking your note's app.

4. Update your CRM

That two-minute CRM update that somehow never happens until a week later? Just tell Claude:

"Update Sarah's contact in Bonsai with the notes from today's call — add the pain points she mentioned and tag the project as 'Q4 financial audit support'."

Bonsai is built specifically for independent professionals and small teams. Your client info, deals, and project history all live in one place — and Claude can write directly to it.

5. Draft a proposal

Save time and set up proposals right from Claude. You can prompt:

"Create a proposal for Sarah in Bonsai."

Claude gets it ready for you to review in Bonsai. From there, you can add the polish, review the content and send it from Bonsai, where your client can view, sign, and approve it all in one place.

6. Get paid

The work is done. Time to invoice:

"Create an invoice in Bonsai for Sarah for the first milestone — discovery and audit phase — at $2,500, due in 14 days."

The invoice is created in Bonsai, you check everything is good to go and hit the send button. Your client pays directly online. Bonsai handles reminders automatically. Helping to reduce manual invoicing follow-up

You stay in control

Letting an AI assistant take actions on your behalf is a big step. Here's how the connectors are designed to keep you in control:

  • Claude drafts, you decide. Proposals, invoices, and CRM updates are created for your review before anything goes to a client.
  • You control access. You authorize what Claude can see and do through your connector settings. Access is governed by the permissions you configure.
  • Built-in admin controls. My Notes is built into Zoom and subject to Zoom's existing admin controls. Your meeting data is kept within your Zoom environment.

As AI starts doing more on your behalf, governed access matters. You decide what gets shared, what gets created, and what goes to a client.

Getting started takes about five minutes

The Zoom MCP connector and Bonsai MCP connector are available now. Here's how to set up:

  1. Visit the Zoom × Claude for Small Business page
  2. Get the Zoom Workplace Pro + Bonsai bundle
  3. Connect both to Claude — setup takes about five minutes

By your next client call, you could have the whole workflow running: schedule from Claude, capture key meeting notes, and turn them into proposals and invoices without switching tools.

Your meetings, your clients, your invoices — connected through Claude

If you're already using Claude to brainstorm, research, and work through problems, the Zoom and Bonsai connectors can turn those ideas into action. Meetings happen. Notes get captured. Records get updated. Proposals go out. Invoices get paid.

For small business owners who'd rather spend time on client work than admin, this could be the shift for your business.
