The problem we set out to solve

Zoom hires over a thousand people every year across more than 30 countries. Each hire passes through multiple rounds of interviews — recruiter screens, hiring manager conversations, technical panels, team debriefs. At every stage, the same friction appeared: interviewers were spending significant time on post-interview documentation rather than engaging deeply with candidates.

The impact was measurable, based on data collected during our initial internal deployment. Feedback submissions were delayed by an average of more than two days. Documentation quality was inconsistent. And our recruiters — skilled relationship-builders who are central to the candidate experience — were spending a disproportionate share of their day on administrative tasks that added no value to the candidate experience.

Our approach: AI interview intelligence, integrated end-to-end

We didn't just add a recording tool. We deployed the industry-leading interview intelligence platform, BrightHire, now a Zoom company, and re-architected the entire interview workflow around it.

Our approach centered on three principles:

  1. Automate the busywork, not the judgment. AI handles transcription, note structuring, and data entry. Humans handle evaluation and decision-making.
  2. Integrate deeply, not broadly. Instead of deploying disconnected point solutions, we built a fully integrated technology stack where Paradox (a third-party AI-powered scheduling platform), BrightHire (Zoom's interview intelligence platform), and Workday (our applicant tracking system) talk to each other seamlessly. Data flows automatically from the moment an interview is scheduled to the moment feedback is submitted — designed to avoid copy-pasting, toggling between systems, and data re-entry.
  3. Phase deliberately. Before a full global launch, we rolled out in two stages — first to our recruiting team (who conduct the highest volume of interviews), and then into an active hiring manager pilot and phased expansion. We validated the technology, the integration, and the adoption model at each phase before expanding scope. Hiring managers weren't asked to absorb risk alongside our recruiting team — we brought them into a system that was already proven and stable.

What changed

The transformation was immediate and measurable.

Within the first few months of deploying BrightHire to our recruiting team, internal measurements from our initial deployment revealed:

  • A 94.4% reduction in post-interview documentation time — from an average of 17.96 minutes per recruiter screen to under one minute — freeing recruiters to focus on what matters most: building relationships with candidates and hiring managers
  • Faster, more consistent feedback submission — feedback that once took an average of more than two days to submit now happens within minutes, and documentation quality is no longer dependent on individual note-taking habits
  • Over 600 hours reclaimed across the recruiting organization in the first few months, redirected toward candidate engagement and hiring manager partnerships
  • Measurable cost savings from reduced administrative overhead — time that once went to documentation now goes to strategic hiring activities that directly impact business outcomes

When recruiters no longer have to choose between listening and typing, we've observed a meaningful shift in how interviews feel. Recruiters report asking better follow-ups, picking up on nuance more readily, and building stronger rapport with candidates — the kind of connection that can make a real difference in a competitive hiring market.

The integration that makes it work

Our talent acquisition technology stack now operates as a continuous, automated workflow:

  • Paradox, a third-party scheduling platform, captures candidate availability in minutes and confirms interviews in an average of 2.76 hours (measured from availability received to interview booked, based on internal scheduling metrics tracked during the deployment period), replacing what used to take days of back-and-forth emails and calendar juggling.
  • BrightHire joins scheduled interviews automatically, captures the conversation, and generates structured summaries mapped to the role's evaluation criteria — typically ready within minutes of the interview ending.

Workday feedback submission is streamlined to under a minute. BrightHire's AI-generated notes auto-populate the questionnaire fields. The interviewer reviews, confirms, and submits — turning what previously averaged roughly 18 minutes into a 60-second quality check.

What's next

We launched BrightHire globally in October 2026 to all hiring managers and interviewers across all regions. Our upcoming implementation roadmap includes:

  • Exploring fraud and deepfake detection — combining our interview intelligence with our proprietary meeting signals to protect the integrity of the hiring process
  • Developing AI-powered interview guides and job posting tools — standardizing how we define roles and evaluate candidates, making our hiring process more consistent and evidence-based from start to finish
  • Advancing AI-assisted screening capabilities — using BrightHire's agentic screening to handle initial qualification checks, elevating recruiters to deeper, more consultative candidate conversations

At Zoom, our goal is to foster human connection across our AI-first work platform. BrightHire, now part of the Zoom platform, is one of the clearest examples of that mission in practice, and the behavioral change is tangible.

Recruiters who once spent nearly 18 minutes per screen on documentation now spend under a minute and redirect that time toward deeper candidate conversations. Hiring managers are more present in interviews because they're not splitting their attention between listening and typing. And by enabling interviewers to focus entirely on the conversation, we aim to create more thoughtful, engaged interactions for candidates.

By reducing the administrative friction from hiring, we've freed our people to do what they do best: build genuine connections with candidates, make thoughtful evaluations, and ultimately make better hiring decisions. The AI doesn't replace the human in the room. It creates the space for deeper human connection by handling the busywork that used to fragment attention.
