To facilitate communication with companies and business partners in Japan and overseas, Imuraya had been focused on enhancing online tools even before the COVID-19 pandemic. They had already introduced Zoom Meetings and Zoom Phone, which were used daily. However, different tools were used for mail and calendar, leading to challenges in managing accounts for multiple tools, the cost of comparison and evaluation, and issues related to data aggregation in anticipation of the generative AI era.

By implementing Zoom Mail and Zoom Calendar, Imuraya can now complete almost all tasks within the Zoom app. This has made account management easier for the IT department, and employees can use it efficiently and without confusion. The generative AI tool AI Companion is installed by default, allowing for automatic generation of meeting minutes and summaries, as well as email drafts, without any additional setup. This has fostered a corporate culture where everyone naturally explores generative AI. Saving and analyzing audio and text data from web conferences, chats and emails has also become easier, with new future applications now being explored.

Originally founded in 1896 as a Japanese confectionery store, the Imuraya Group offers a wide range of products popular with consumers, from ice cream products such as "Azuki Bar" and "Yawamochi Ice Cream" to dim sum items such as meat buns and bean buns. The Imuraya Group is also recognized for its early and active pursuit of initiatives in digital transformation (DX).

 

In the spring of 2025, the Imuraya Group migrated its company-wide email and calendar systems to Zoom Mail and Zoom Calendar, consolidating its internal communication infrastructure into a platform called Zoom Workplace. Within the Zoom app, all necessary applications, such as web conferencing, email, chat, phone calls and calendar are available in one place.

Mail, phone and calendar all on the Zoom platform

The Imuraya Group's first encounter with Zoom dates back to 2017. They were looking for a tool to enhance online communication, particularly due to having multiple offices and business partners overseas. They took note of Zoom Meetings, a function not yet well known in Japan, and made an inquiry.

 

Kohei Okada, Head of the Digital Strategy Office, reflects, "I recognized Zoom's potential because while it's a simple and easy-to-use SaaS, it also enables connections with people around the world."

After testing Zoom Meetings at some company branches, it was soon introduced in production sites for its ease of use. In 2022, the Imuraya Group was among the first to adopt Zoom Phone, which had just been released as a cloud PBX service, enabling seamless implementation of both external business calls and internal multi-location calls through the Zoom app.

 

In response to positive feedback from the field such as "easy to use" and "easy to understand," the company further centralized internal and external communication tools on the Zoom platform by increasing functions in a single app and making account management easier. Currently, Zoom Workplace functions are fully utilized, with approximately 800 employees, including those at global locations, using Zoom.

 

In the spring of 2025, the Imuraya Group became the first company in Japan to fully implement Zoom Mail and Zoom Calendar. Masataka Tsuji, Deputy Manager of the Digital Strategy Office, states, "Ever since hearing from our Zoom representative that mail and calendar were also under development, we were eagerly anticipating them."

 

The company hoped to complete as much daily work as possible on Zoom, and these two features were essential for that purpose.

Tsuji details further, "In the past, we used different tools for email, calendar and chat in our daily work, but it took considerable time and effort to switch between windows and tabs. While these processes seem negligible and easily go unnoticed, viewed across the entire group they are actually quite considerable. We believed that introducing Zoom Mail and Zoom Calendar would make daily processes easier for each individual, and increase productivity across our organization on the whole."

Strong integration with other tools: Expanding to meet organizational needs

Zoom's key features include ease of use within the same app, while also facilitating integration with various SaaS applications. It can be customized to meet the needs of businesses and organizations, including applications from Google and Microsoft, as well as CRMs like Salesforce.

 

The Imuraya Group has also established integration with Box for online storage. Moving forward, they are also considering integrating information on their business partners and order processing systems.

 

Additionally, all features come with AI Companion which allows for searching across communications and files sent within Zoom. For example, AI automatically transcribes the audio of web meetings, saving the minutes and summaries as text data. It also organizes and allows searching of conversations and files shared via mail and chat, so you will no longer wonder, “Where did I have this conversation, and who was it with?”

 

Unifying on the Zoom platform has brought significant benefits in terms of management and cost. With a single account, users have comprehensive access to Zoom Workplace features, eliminating the need for individual contracts and user management.

 

Tsuji says that the management screen allows them to check detailed usage status of each function (number of times AI summarization is used, users currently using the tool, etc.) alongside audio and video quality in real time, which has led to increased efficiency and security.

 

In terms of security, the risk of information leaks has been reduced because the tools used are not scattered. Security functions like email filters continue to be enhanced, and the company expects this to provide a greater sense of security in the long term compared with on-premises environments.

Zoom is indispensable in production plants: Increasing efficiency and overcoming language barriers

Even with convenient tools in place, digital transformation (DX) loses its potential if they aren't used. Zoom Workplace allows users to customize according to the needs of each department by combining features. At the Imuraya Group, Zoom has become indispensable not only for office workers but also for plant employees.

The company's production facilities include a Dim Sum & Deli Factory, and an Ice Cream, Confectionery and Red Bean (Azuki) Factory. The Dim Sum & Deli Factory alone has nine different manufacturing processes.

 

Kento Ueshima, Deputy Plant Manager of the Dim Sum & Deli Factory, says that chat is the most important tool for sharing daily schedules and requests in a timely manner. This allows his team to continue operating 24 hours a day through the large facility's early and late shift system.

 

"We often use chat because we don't want to interrupt someone else's work in our production facilities, which are always busy. We can attach photos and videos to help explain processes difficult to convey in text. Chat is also very useful for reassessing the situation when sudden changes occur," Ueshima explains.

Another advantage is that in a food production facility, where bringing in personal equipment is restricted for hygienic reasons, a single company smartphone can perform all required functions without issue.

 

Ueshima details, "We've streamlined our workflow so that we can complete the confirmation and approval of material and equipment orders entirely through chat. We still use the phone for urgent matters, but the ability to conduct video conferences and phone calls directly from the Zoom app is very convenient."

 

In terms of information sharing, the company also utilizes the Zoom Rooms digital signage function*. Monitors installed in four locations in the plant display videos explaining the work content, procedures and precautions.

Ueshima also adds, "Many of our production plant employees come from countries like Brazil, the Philippines and Vietnam. Overcoming language barriers and accurately sharing information is always a major challenge. We really appreciate being able to communicate ideas sometimes difficult to understand through words and gestures alone by adding subtitles in different languages, and allowing our employees to view important video footage while they work."

 

Playing videos in the form of digital signage was proposed by an employee on site. Because the employees are familiar with using Zoom daily, the possibility of using Zoom Rooms came up.

 

Replacing or adding content is straightforward, and being able to do so without relying on IT managers is a great advantage in production facilities, where conditions change daily. "We are able to promptly convey information required each day," Ueshima explains, highlighting the results of DX in a production facility setting.

Smoothly sharing information overseas: The value of "face-to-face" communication elevated by Zoom

The company is also actively expanding overseas, starting with its signature product “Azuki Bar.” They have offices in North America, China and Malaysia, and use Zoom daily to communicate with Japanese staff assigned abroad, local employees and affiliated companies.

 

"Honestly, I prefer face-to-face meetings," says Shin Imura, Head of the Overseas Trade Office, with a smile. Nevertheless, he notes that Zoom has proven very useful in a number of different situations.

Imura travels abroad often, and for this reason, he finds the current status display function to be very useful. By setting his status to online/offline, in a meeting/call, unavailable, etc., it's easier for colleagues to understand his status and schedule accordingly, especially across different time zones.

 

These days, the company often uses Zoom not only for online meetings but also for in-person meetings and discussions. They use AI Companion to generate summaries of business discussions and display subtitles using the real-time translation function. Imura shares, "Before we knew it, Zoom became an indispensable tool for meetings, including those held face-to-face."

Regarding the transition to Zoom Mail and Zoom Calendar, Imura says, "In a good way, there weren't any major changes."

 

"The value of the Zoom platform is precisely the fact that features feel like they've always been there, and that they are seamlessly connected," Imura explains.

 

Imura frequently interacts with business partners and local staff, and he shares that widespread use of Zoom has intensified the contrast in communication, and consequently, increased the value of in-person interactions.

 

He details, "I believe the value of face-to-face meetings has increased in recent years. Today, people might go out of their way to cross the ocean to meet, when Zoom is more than sufficient for simply conveying information. Combining the advantages of both online and face-to-face communication increases the value of in-person meetings and allows us to meet more often."

AI supports day-to-day operations, enabling open brainstorming and improved efficiency

As part of its DX (Digital Transformation) strategy, the Imuraya Group, which aims to improve productivity, streamline operations through work style reforms and achieve "cost innovation," is actively utilizing AI Companion, which can be employed across Zoom tools.

 

Kohei Okada, Head of the Digital Strategy Office, particularly appreciates the ability to generate email drafts. AI Companion automatically generates appropriate replies based on messages that land in his inbox.

 

"I've increasingly started using AI Companion to draft email replies, then I make necessary edits before sending them. Even when writing new emails, I can create them through dialogue with AI Companion, which saves a lot of time. Because it helps me organize and convey what I want to say, I honestly think I've become easier to understand," Okada explains.

AI summarization features for web conferences and phone calls have become commonplace in every department. It's now standard practice to have AI Companion summarize meeting content to use directly as meeting minutes. For example, the Digital Strategy Office uses it to review and summarize IT-related inquiries from within the company, and is improving efficiency by suggesting answers based on similar past inquiries.

 

One feature the company wants to particularly utilize moving forward is the Zoom Tasks function, which leverages summarization completed by AI Companion. AI Companion analyzes meeting content to determine "which attendees were present" and "what tasks were assigned," automatically generating actionable items (tasks) and sharing them among members.

 

"Compared to the days when we recorded meetings, transcribed them and assigned tasks to each person, the time and effort saved is immense. Since AI Companion is included with Zoom's paid license, the advantage is that each employee can freely explore how to use it. It's constantly being updated, and we look forward to new features like image generation, aggregation functions, and even AI agents. We fully intend to make even greater use of it," details Masataka Tsuji of the Digital Strategy Office.

Feedback as top priority: Zoom's culture of nurturing products alongside customers

Tsuji recalls that the introduction of Zoom Mail and Zoom Calendar presented more challenges than ever before, including improvements to Japanese input and display. At the same time, as with his previous experience implementing other Zoom products, he was "very grateful for Zoom's agility and speed."

 

He explains: "During the migration process, we had many requests for bug fixes and improvements, but I was impressed by Zoom's team-oriented approach, with sales, development and CSMs (Customer Success Managers) working together across departmental boundaries, sometimes even enlisting the help of their US headquarters. Their willingness to act quickly to meet user needs and their high level of agility make them very reliable. I personally admire their culture of 'nurturing products alongside customers.'"

Imuraya is showing its commitment to gaining a deeper understanding of each function of Zoom Workplace and fully utilizing them. How should the company evolve in the age of generative AI? Okada is enthusiastic about combining web conferencing, phone calls, email, calendars and chat to improve business operations and drive business growth.

 

"By centralizing everything on the Zoom platform, it becomes easier for employees to use, and data accumulation and integration will improve even further. We aim to promote diverse uses within the company to take full advantage of this positive cycle," concludes Okada.
