You've been in that meeting where everything clicks. The team aligns, decisions get made, energy runs high. Then the meeting ends, and the momentum dies. Notes are misplaced, and action items don't get followed up on. By next week, half the team is guessing what was actually decided.
This isn't an edge case. Research from Deloitte reveals that 94% of employees feel meeting friction. Teams spend 25 hours a week on meeting-related activities, but 63% of that time isn't the meeting itself.* It's preparation and follow-up. It's hunting for assets and trying to remember where decisions were made. And it's this meeting friction that gets in the way of your good work getting done.
Think about a typical sales call. A rep discusses pricing with a prospect, mentions a follow-up demo, and agrees to send a proposal by Friday. The conversation generates a recording, a transcript, maybe an AI summary. And unless someone accesses them manually, they gather digital dust on a digital shelf.
The person still has to remember, switch apps, find the right tools, and manually connect what was discussed to what needs to happen next.
The same fragmentation plays out in contact centers. Customer interactions get recorded, insights appear in executive dashboards, agents juggle multiple systems—but none of it connects.
For all the promises that technology offers, this is what hinders productivity. Teams spend their days toggling between platforms, chasing down context, and translating conversations into action. When your employees are jumping between systems just to reconcile the truth, they lose more than time.
The solution isn't more summaries or smarter search. It's rethinking what a collaboration platform should do. It requires moving from a place where work happens to a system of action.
The next generation of Zoom is built around Zoom Workplace, Workvivo, Zoom Phone, Zoom Revenue Accelerator, and Zoom CX—all unified on a single platform. Because it's all connected, it can draw from your communications, assets, and records to engineer context. Then it takes action.
In Zoom Workplace, Zoom AI Companion can help you turn meeting tasks into workflows that complete deliverables. You can build custom workflows to handle tasks such as drafting a post-meeting thank-you note or entering customer notes in Salesforce. This can save time and drive outcomes from every conversation.
Consider what happens during a customer service call. With new agentic workflows in Zoom Phone, the conversation itself triggers the work that used to happen later. Follow-up tasks create themselves. A summary email is sent to the customer. By the time the representative moves to the next call, the work is already done.
For businesses that handle high call volumes, AI Receptionist greets callers, answers questions, and books appointments 24/7. When a call requires a person, it routes to the right team member with context already captured.
Inside Zoom Workplace, the new Home tab brings meetings, tasks, and documents into one place. AI Companion lives there too, so you can search across every conversation, generate content, and trigger workflows without jumping between tools.
When a strategy session wraps up, AI Docs, AI Slides, or AI Sheets can turn the discussion into a working canvas where you and AI Companion can create together. You draft the executive brief side-by-side, revising as you go. The proposal is generated from the customer's own words. The task tracker populates with owners and assigned timelines. What used to be "meeting notes" becomes actual deliverables.
Zoomie, our new group assistant, can help keep teams on track. Team members can ask clarifying questions during meetings or in chat, helping ensure important details are captured. Five minutes before the meeting ends, it proactively reminds the group and shows all the action items, so everyone leaves aligned on what happens next.
The same principles extend to customer experience. In Zoom CX, service calls, sales meetings, and partner conversations automatically feed into CRM systems and analytics dashboards. CX Insights brings AI signals from across the Zoom CX ecosystem, including Zoom Contact Center, Workforce Management, Quality Management, and Zoom Virtual Agent, helping CX leaders uncover patterns, understand what's shaping them, and decide where to focus next.
AI Expert Assist sits alongside agents and supervisors, offering guidance and handling routine tasks in real time while they focus on the customer. With Self-Healing Intraday in Zoom Workforce Management, the platform can automatically adjust contact center staffing levels throughout the day to protect service levels and operational performance. The goal is to catch issues before they become problems, coach before performance slips, and build stronger customer relationships continuously.
AI Companion is also coming to Workvivo, so frontline teams get the same AI support as everyone else. Right from the Workvivo mobile app, employees can ask questions, summarize updates, or create content without jumping between tools. It means AI Companion works wherever your team does—whether they're at a desk or on the go.
Some products and features are still in development and are expected to launch throughout 2026. Availability dates and features will vary by product and plan.
These capabilities signal a fundamental shift in how organizations should think about collaboration technology.
A system of action amplifies what you're already good at. It takes care of the busywork—the follow-ups, the data entry, the routine tasks—so you can spend your time on what matters: creative thinking, relationships, and decisions only you can make.
This also creates a foundation for ongoing, end-to-end automation. As organizations build custom agents and connect them to company data, they create intelligent workflows that span departments, systems, and processes. The result is work that moves faster and results that improve continuously.
The shift from system of record to system of action won't happen overnight. It requires rethinking workflows, trusting AI with more responsibility, and building new habits around how work gets done.
But the opportunity is clear: in a world where every organization is drowning in conversations, the advantage belongs to those who master connection and move every conversation to completion.
That's the future we're building at Zoom—a platform that drives conversations to completion, delivering better meetings, calls, and customer experiences along the way.
