Projects Database for Photographers
This database contains all your photography projects. While detailed explanations are provided below, most of it should be clear.
Explanation of the “Photography Projects” properties
Project
Assign a name to each project.
You can add a new project by clicking “New” in the top right corner or at the bottom of the list.
Tip: After the shoot, consider adding a sample photo as a cover image for quick visual reference.
Date
Set the scheduled shooting date for the project.
If left empty, it indicates that a date has not yet been confirmed with the client.
Comments
Use this field to briefly summarize the shoot’s subject or purpose.
Example: clean, minimalist
Status
Track the current stage of each project:
Not Started – An idea for a shoot exists, but no client has been contacted.
I asked – You’ve reached out to a potential client and are waiting for a response.
They asked – A client has shown interest, but no date or location has been set.
shoot – Everything is scheduled and ready for the shoot (Date and Location should now be filled).
develop – For analog photography: film development stage. For digital: importing and organizing files.
scan – For analog photography only.
Lightroom – Photos are in the editing phase in Adobe Lightroom/Photoshop.
Not Interested – The client declined the shoot for now; useful for future follow-ups.
done – The project is completed. Congratulations! 🥂
Type
Specify the type of shoot (e.g. wedding, portrait, landscape).
Personalize this list based on the services you offer.
Tip: Create templates for each type. For example, a wedding template might default to 8 hours, while a portrait session might start with 2 hours.
Camera
Select which camera gear you plan to use for the shoot.
Helpful for preparing packing lists or managing your gear inventory.
Analog Film
Select the type of film used (for analog photography).
This allows you to reference past work and reuse film types you liked based on previous results.
Shooting/Editing Time
Estimate the time needed for shooting beforehand, and record the actual time afterward.
You may split this into two separate properties if you want to track planned vs. actual time.
Average times are automatically calculated at the bottom of the database.
Pay
Enter the payment amount for each shoot.
The total is displayed at the bottom of the database, helping you track your earnings both projected and completed.
Explanation of the “Photography Projects” views
Current
This view is filtered to display projects where Status = To Do or In Progress
It shows all active and upcoming projects.
Projects are sorted by Date, allowing you to easily identify which shoot is coming up next.
Done
Displays completed projects in a Gallery View.
This layout makes it easy to visually review previous work and reference successful shoots for future inspiration.
Clicking on any project opens its full details, including information such as camera gear, analog film, location, and more.
Calendar
Provides a calendar-based overview of all scheduled shoots.
Helps you monitor your shooting schedule and manage time effectively.
